What we collect, why, who sees it and how long we keep it.

This page says what information Qatar Ultra Runners collects about you, why we collect it, who else sees it and how long we keep it. It was written from what our forms actually ask for — every item named below is a field that exists, not a category copied from somewhere else.

We are Next Level Sports Events, trading as Qatar Ultra Runners, in Doha, Qatar. If you want to ask about anything here, or want your information removed, write to info@qur.qa and a person will answer.

What we collect, and when

We only collect information you type into one of our forms, or that is needed to run a race or send an order.

When you enter a race: your name, your mobile number, which race, the entry fee and the payment reference from the receipt.
When you buy from the shop or reserve an item: your name, your mobile number, your email address if you give one, any note you add to the order, and what you ordered.
When you write to us through the contact form: your name, your email address, your mobile number if you give one, what the message is about and the message itself.
When you apply to volunteer: your name, mobile, email, the city you live in, your Qatari ID number, your age range, your t-shirt size, what you would like to help with, the languages you speak, whether you have a first aid qualification and which, whether you can drive a support vehicle, an emergency contact name and number, and a photograph if you attach one.
When you visit the website: which pages you looked at, how long for, how far down you scrolled, which links you clicked out to, which site sent you here, and your country, device, browser and operating system.

Why we ask for a Qatari ID number

Volunteering with us is open to Qatar residents only. That is not a preference — our event insurance and our legal responsibility for people working on a live race course both depend on it, and a Qatari ID number is how residency is established.

We use it to confirm you are a resident and to name you on the insurance for the race you help at. We do not use it for anything else, we never publish it, and we never share it except as described below.

It is stored so that most of it cannot be read. Everyone on our team sees only the last four digits. A full number can only be shown to an administrator, and every single time one is shown the system records who looked and when.

How we track visits to this website

We count visits in two different ways, and you choose which one applies to you.

For everybody, whatever you answer: we make a one-way code from your network address, the browser you are using and today's date. The address is used to make that code and is then discarded - it is never written down. Because the date is part of it, the code changes every day, so we can tell how many people came today and, on its own, this cannot tell whether you were also here yesterday.

We do not use Google Analytics, Meta Pixel, or any advertising or tracking service, and nothing we set follows you to another website.

If your browser sends a Do Not Track signal, we record nothing about your visit at all.

Cookies, and what we do if you say yes

The first time you visit we ask, in a small bar at the bottom of the page, whether we may remember your browser. You can say no; nothing is hidden behind saying yes, and the shop and the website work exactly the same either way.

If you say no, we store one small file that records only that you said no - so we stop asking. Nothing else is kept, and you are counted the anonymous way described above.

If you say yes, we store one small file containing a random number. That number is not your name, your email address or your phone number, and it means nothing to anyone outside our own system. It lets us see that the same browser came back, which pages people read before they buy something, and which of our posts or campaigns actually brought people in. It lasts six months and then expires by itself.

Even when you say yes, we do not join that number to your name, your order or your email address. If you buy something we count that an order happened, and nothing about who placed it. We do not sell it, we do not share it, and we do not use it for advertising.

You can change your mind at any time by clearing cookies for this site in your browser, or by writing to info@qur.qa. When consent is withdrawn the random number and everything counted against it are deleted, not merely hidden. If a browser we recognise stops visiting for six months, the same thing happens automatically.

Who else sees your information

We do not sell your information, we do not share it for advertising, and we do not send it anywhere it is not needed to do the thing you asked for.

SkipCash, our payment provider, handles card payments. Your card details are entered on their systems and never reach ours — we only ever see the amount, the reference and whether it settled.
Resend, an email service, delivers the notification that tells our own team an order or an enquiry has arrived. It does not receive your information for any other purpose and never emails you.
Supabase and Vercel host the platform and the website, and therefore store the information on our behalf under contract.
The event insurer, for volunteers only, and only the details the insurance actually requires.
Anyone we are legally required to give it to.

How long we keep it

Race entries, orders and payments: kept for as long as our accounting and tax obligations require, because they are financial records.
Contact enquiries: kept while we deal with them and for a reasonable period afterwards.
Volunteer records: kept while you are on the volunteer list. Tell us you no longer want to be on it and we will remove your record, including your ID number and your photograph.
Website visit counts: kept as daily and monthly totals. There is nothing in them that identifies a person, and there is nothing to remove.

What you can ask us to do

Write to info@qur.qa and we will do any of the following.

Tell you what we hold about you.
Correct anything that is wrong.
Delete your volunteer record, or your contact enquiry.
Stop contacting you.
Explain anything on this page that is not clear.

Records we cannot delete

Where money changed hands we have to keep the record of it — a race entry, an order, a refund. That is an accounting obligation and it applies to us whatever we would prefer.

What we can do is remove everything about you that is not part of that financial record.

Keeping it safe

Access to this platform is by named account, and each person is given only the parts they need. Somebody who takes entries at a race desk cannot open the books; somebody who edits the website cannot read volunteer records. Every change is recorded with who made it and when.

Volunteer photographs are stored privately and are not reachable from the public internet.

Children

Volunteering with us is 18 and over. We do not knowingly collect information about anyone under 18. If you believe we have, write to info@qur.qa and we will remove it.

Changes to this page

If we change how we use your information in a way that matters, we will change this page and give it a new version number. Anyone who has agreed to it keeps a record of the version they agreed to, so it is always clear what you were told at the time.
